Cancellation Policy
Cancellation Policy for Mesquite & Fir
Effective Date: January 1st, 2025
We understand that plans can change, and we strive to offer flexibility while protecting the integrity of our bookings. Below are the terms of our cancellation policy:
1. Standard Cancellation Policy
1.1. Full Refund:
Guests may cancel their reservation for a full refund up to 30 days before the check-in date.
1.2. Non-Refundable Cancellations:
Cancellations made 29 days or less before check-in are non-refundable, and the full booking amount will be retained.
1.3. Early Departures:
No refunds will be provided for early departures once the stay has begun.
2. Extenuating Circumstances Policy
We may grant exceptions to the standard cancellation policy for extenuating circumstances. Valid documentation may be required for the following situations:
Natural Disasters: Severe weather, wildfires, or other natural events that make the property uninhabitable or prevent travel.
Government Restrictions: Travel bans, lockdowns, or other official mandates that prevent the guest from traveling to or staying at the property.
Medical Emergencies: Severe illness, injury, or death of the guest or an immediate family member.
Flight or Transportation Cancellations: Major transportation disruptions, such as canceled flights or road closures, beyond the guest's control.
Approval for refunds under extenuating circumstances is at the sole discretion of Mesquite & Fir.
3. Modifications to Reservations
3.1. Changes to Dates:
Guests may request to modify their reservation dates up to 30 days before check-in, subject to availability. Any rate differences for new dates will apply.
Date changes requested less than 30 days before check-in will be treated as a cancellation and rebooking.
3.2. Transferring Reservations:
Reservations may not be transferred to another guest or party without prior written approval from Mesquite & Fir.
4. No-Show Policy
If a guest does not check in on the arrival date and fails to communicate with us, the reservation will be considered a no-show, and no refund will be issued.
5. Security Deposits and Damages
5.1. Refund of Security Deposit:
Any refundable security deposit collected will be returned within 7 days of checkout, provided no damages or policy violations occur during the stay.
5.2. Non-Refundable Charges:
If damages, excessive cleaning, or missing items are discovered after the guest’s stay, applicable charges will be deducted from the security deposit, or the guest will be billed for the amount.
6. Force Majeure
In rare cases, Mesquite & Fir reserves the right to cancel a reservation due to unforeseen circumstances beyond our control, such as property damage, severe weather, or emergencies. In such cases:
Guests will receive a full refund of their booking amount.
We will make every effort to assist guests in finding alternative accommodations.
7. Communication and Confirmation
7.1. Cancellation Requests:
All cancellation requests must be made in writing via email to hello@mesquiteandfir.com. The date of receipt of the request will determine eligibility for a refund.
7.2. Confirmation of Cancellation:
Guests will receive a confirmation email once their cancellation has been processed.
8. Disputes
In the event of a dispute regarding cancellations or refunds, the decision of Mesquite & Fir will be final. Guests may contact us directly at hello@mesquiteandfir.com for further clarification.
